What you will build

Set up this spreadsheet for offline use without changing the Task and Status sample. You will verify the workbook, open the visible File menu, use Make available offline when it is offered, and then confirm the file remains available and synchronized.

HANDS-ON PRACTICE

Practice in your own copy

Make your own Google Sheets copy with the same data, formulas, formatting, filter and frozen header. The original remains unchanged.

Sign in to Google. If the original is not publicly shared, download the full workbook and import it into Google Sheets, or paste the example data into your own sheet.

The live _result workbook shows the clean Task and Status sample before changing offline settings.

Hands-on practice

Step 1: Review A1:B4 in the _result workbook. Confirm the headers are Task and Status and the three sample rows are Brief / Done, Dataset / Working, and QA / Planned before changing any offline setting.

Step 2: Select A1:B4 once so you have a clear checkpoint for the data that must remain unchanged.

A1:B4 is selected in the live _result workbook as the checkpoint that must remain unchanged.

Step 3: Open File. In the File menu, choose Make available offline when that command is available for your account and browser. Wait for Google Sheets to finish preparing the file before you disconnect.

The Google Sheets File menu is open with the pointer on Make available offline before enabling offline access.
After enabling offline access, the File menu now shows Remove offline access, confirming the setting is active.

Step 4: Reopen File to verify the setup. When offline access is enabled, the menu item changes to Remove offline access. Close the menu and confirm A1:B4 still matches the checkpoint. Test a true disconnected session only on your own device when it is safe to do so; reconnect before closing the browser so pending edits can synchronize.

Final checkpoint: A1:B4 remains selected and the Task and Status sample is unchanged after enabling offline access.

Checkpoint for “Use offline mode and understand limits”: the Task, Status columns and sample records must still match this table after the lesson action.

Common mistakes and fixes

If the file does not open offline, reconnect first. Recheck the offline setting and wait for preparation to finish before testing again. If cell values changed during the test, restore A1:B4 to the checkpoint rather than creating another workbook copy.

Independent practice

On your own copy, mark the spreadsheet for offline use with File > Make available offline, wait for preparation to finish, then verify the file can be opened offline and that A1:B4 is unchanged after reconnecting.

Key takeaways

  • ✓Check the sample data before changing any offline setting.
  • ✓Use the visible File > Make available offline command when it is available.
  • ✓Verify success by reopening File and confirming the item changes to Remove offline access.
  • ✓Only test a disconnected session when it is safe, then reconnect before closing the browser.
  • ✓After the setup, confirm A1:B4 still matches the checkpoint.
QUICK CHECK

Check your understanding

Answer four questions about the practice sheet.

1. Which visible Google Sheets command is used in this lesson to prepare the file for offline access?
2. When should you disconnect to test offline access?
3. What should happen to A1:B4 after enabling offline access?
4. What should you do before closing the browser after an offline edit?
