HANDS-ON PRACTICE

Practice in your own copy

Make your own Google Sheets copy with the same data, formulas, formatting, filter and frozen header. The original remains unchanged.

Make a Google Sheets copy (access required) ↗View original

Sign in to Google. If the original is not publicly shared, download the full workbook and import it into Google Sheets, or paste the example data into your own sheet.

Hands-on practice

Step 1: Confirm the sheet contains the four columns Day, Subject, Minutes, and Status with the four sample rows. You do not need to edit the data to share the file.

Step 2: Click Share in the upper-right corner to open the sharing dialog.

Step 3: For the recipient or General access setting you intend to use, choose Viewer rather than Editor. Do not change other people's permissions unless that is part of your sharing goal.

Step 4: Before copying or sending the link, read the role shown in Share and confirm it says Viewer. If your account or organization policy does not allow the intended sharing mode, leave the current access unchanged and ask the owner or administrator to handle it.

Checkpoint

CheckExpected result
DataThe four columns and four sample rows are unchanged
Sharing roleThe intended recipient or link shows Viewer
OwnerThe original remains editable by its owner

View-only is an access setting, not a change to the sheet data.

Weekly study plan data remains unchanged after setting Viewer access.

Common mistakes and fixes

If the link does not open for the recipient, do not assume the file is publicly shared. Recheck the access scope shown in Share and describe the link according to its actual permission.

Independent practice

Reopen Share and identify three things yourself: who currently has access, the intended recipient's role, and the General access scope. Do not change permissions if you are only checking them.

Key takeaways

  • ✓Check the sheet before sharing.
  • ✓Open the sharing dialog from the Google Sheets Share button.
  • ✓Use Viewer when a recipient only needs to read the file.
  • ✓Confirm the intended recipient or General access entry shows Viewer before sending the link.
  • ✓Leave the data and unrelated permissions unchanged.
QUICK CHECK

Check your understanding

Answer four questions about the practice sheet.

1. Which role is appropriate when a recipient only needs to read the workbook?
2. Where do you open the sharing settings?
3. What should you confirm before sending the link?
4. What should you do if you cannot change the sharing setting?
