What you will build

You will audit four beginner spreadsheet checks and turn the Pass values in B2:B5 into checkboxes. The final sheet keeps the checklist text in column A and shows three checked items plus one unchecked item in column B.

HANDS-ON PRACTICE

Practice in your own copy

Make your own Google Sheets copy with the same data, formulas, formatting, filter and frozen header. The original remains unchanged.

Sample data

Column A contains the audit questions. B2:B5 contains the Boolean values that will become checkboxes.

Google Sheets checklist before checkbox formatting, showing the Check and Pass headers and all four sample rows.

Hands-on practice

Step 1: Select B2:B5 only. Do not include the Pass header in B1 and do not select column A.

Google Sheets with only range B2:B5 selected in the Pass column.

Step 2: With B2:B5 still selected, open Insert > Checkbox. Choose the visible Checkbox command; do not use menu search or apply the command to the whole column.

Google Sheets Insert menu open for selected range B2:B5, with the Checkbox command visible.

Step 3: After applying the command, confirm B2, B3, and B5 are checked while B4 is unchecked. The existing TRUE/FALSE values are represented by the checkbox states.

Final Google Sheets checklist with B2, B3, and B5 checked and B4 unchecked.

Step 4: Test the behavior by clicking B4 once. It should become checked, which corresponds to TRUE. Click B4 again to restore it to unchecked/FALSE before finishing.

Checkpoint

CheckPass
Headers are clearChecked (TRUE)
Dates are real datesChecked (TRUE)
No hidden errorsUnchecked (FALSE)
Sharing is intentionalChecked (TRUE)

The final state is B2=TRUE, B3=TRUE, B4=FALSE, B5=TRUE, displayed as checkboxes.

Common mistakes and fixes

If you accidentally change a checklist label in column A, restore the text from the sample table. The checkbox action belongs only to B2:B5.

Independent practice

Add a fifth check named “Formulas use expected ranges” with FALSE in the Pass column. Convert only its Pass cell to a checkbox, toggle it once to observe the state change, then remove the practice row so the sheet returns to the checkpoint.

Key takeaways

  • ✓Select only the Pass data cells B2:B5, not the header.
  • ✓Use the visible menu path Insert > Checkbox.
  • ✓Checked boxes correspond to TRUE; unchecked boxes correspond to FALSE.
  • ✓Test a checkbox by toggling it, then restore the intended checkpoint state.
  • ✓Keep the audit labels in column A unchanged.
QUICK CHECK

Check your understanding

Answer four questions about the practice sheet.

1. Which range should receive checkboxes?
2. Which visible menu path inserts the checkboxes?
3. What does an unchecked checkbox represent in this lesson?
4. What should B4 show at the final checkpoint?
